About you

Tip: click any part of the preview to jump to its field.

How to reach you

Phone numbers become tap-to-call links, and your email a tap-to-write link.

Photo, logo or initials

Mail apps need an image that’s already online — on your website, or a public link — not a file from your computer. Gmail recommends about 70–100 px high.

Shape

Initials are real text in your accent colour — they show even when the reader’s app blocks images.

Only fonts every computer and phone already has, so your signature looks the same for everyone.

Banner (optional)

A wide image under your signature — an event, an award, a product launch. Shown 400 px wide; use an image at least 800 px wide so it stays sharp.

Shown small and grey at the bottom. Keep it short — long disclaimers get clipped in replies.

Re: Project update

Hi Alex,

Thanks — I’ll send the details tomorrow.

Dark preview approximates mail apps that invert colours. Every app handles dark mode a little differently.

Signature health ·

Checked against Gmail’s limits and common mail-app problems.

Step 2

Add it to your mail app

  1. Click Copy signature above.
  2. In Gmail on a computer, click Settings (the gear) → See all settings.
  3. Scroll to Signature, create a signature if you don’t have one, and paste into the box.
  4. Scroll to the bottom and click Save Changes.

Gmail allows up to 10,000 characters — the health check counts them for you.

  1. Click Copy signature above.
  2. In new Outlook for Windows, select Settings (the gear) → Accounts → Signatures.
  3. Choose the account, select Add signature and give it a name.
  4. Paste into the editing box, choose whether to add it to new messages and replies, then select Save.

Using classic Outlook? Use Download .htm or Copy HTML and paste into the signature editor there.

  1. Click Copy signature above.
  2. In Mail on your Mac, choose Mail → Settings, then click Signatures.
  3. Select the account on the left, click + below the middle column and name the signature.
  4. Paste into the preview on the right.

Most mail apps have a signature setting that accepts pasted, formatted text — click Copy signature and paste it there. If an app only accepts HTML, use Copy HTML. For apps that only take plain text, such as some phone mail apps, use Plain text.

Team mode

Signatures for your whole team

Set up the design once above, then paste your team — one person per line: Name, Title, Email, Phone. You can paste straight from a spreadsheet. Everyone gets the same design, company details and button; each signature has its own copy button.

Tip: use Share design to send everyone the same look — the link carries the design and company details, never anyone’s personal details.

What makes a good email signature

  • Text, not one big image. Signatures saved as a single picture can’t be read when images are blocked, can’t be copied, and look blurry on some screens. This generator builds real text with links.
  • Only what people need. Name, role, company and one or two ways to reach you. Every extra line pushes your message further from the reader.
  • Small, hosted images. Gmail recommends signature images about 70–100 px high and 300–400 px wide, with a maximum of 100 px high and 1,000 px wide.
  • Readable links. Pick an accent colour dark enough to read on white — the health check measures the contrast for you.
  • Built like an email, not a web page. Mail apps ignore most website styling, so signatures here are made with simple tables and inline styles — the approach that works in Gmail, Outlook and Apple Mail.

What this generator does that others don’t

  • A health check, not just a pretty preview. It tells you when the signature will break: over Gmail’s 10,000-character limit, an image too wide or too small for its size, an http image some apps block, a banner that will look blurry, colours that are hard to read, or a rounded photo that classic Outlook will show square.
  • Edit by clicking. Click your name, phone number or button in the preview and the right field opens, ready to type.
  • Every design shows your details. The gallery draws all ten layouts with what you’ve typed, so you choose by seeing — not by imagining.
  • Initials that work without images. No photo? An initials badge in your colour is real text, so it shows even when images are blocked.
  • Dark mode, phone width and whole teams. Preview both before anyone else sees it, then make matching signatures for everyone in one go.

Questions

How do I add this signature to Gmail?

Click Copy signature, then in Gmail on a computer go to Settings → See all settings, paste into the Signature box and click Save Changes at the bottom.

Why doesn’t my logo show up?

Mail apps need an image that’s already online. Use the address of the image on your website, or a public Google Drive link set to “Anyone with the link”. A file from your computer can’t be used in a pasted signature.

Why is my photo square in Outlook?

Classic Outlook for Windows ignores rounded corners. Use a logo or a photo that already has a square crop if that matters to you.

Why are the contact icons images?

Gmail, Outlook and Apple Mail don’t display icon fonts, SVG or embedded images in signatures, so the small phone, email and web icons are tiny PNG images hosted on Emails.help. If a reader’s app blocks images, the icons are hidden but your details still show as text. Choose “Letter” or “None” under Style if you’d rather have no images at all.

Can I make signatures for my whole team?

Yes. Design one signature, then paste your team into Team mode — one person per line — and copy each person’s signature. Share design sends everyone the same look.

Is my information stored?

No. Everything is built in your browser. Your details are saved only in this browser so they’re there next time; Start over clears them.

Is this email signature generator free?

Yes — free, with no sign-up and no watermark in your signature.
