How to Add an Email Signature in Gmail
Create, edit and remove a Gmail signature, use different signatures for new emails and replies, the 10,000-character limit and image sizes — and fixes for broken signatures.
A Gmail signature adds your name, role and contact details to the bottom of your emails automatically. You can have several, pick a default, and include a logo or photo. Here are Google’s steps — and how to fix the signature problems people hit most.
Create a signature in Gmail
- On a computer, open Gmail. At the top right, click Settings, then See all settings.
- In the Signature section, add your signature in the box. You can format it — change the text style or add an image.
- At the bottom of the page, click Save Changes.
Want it to look professional? Design one in our free Email Signature Generator, click Copy signature, and paste it into the Signature box. It’s built from simple tables that Gmail displays correctly, and its health check warns you before anything breaks.
Several signatures and defaults
- Different signatures for different emails — a full one for new emails, a short one for replies, for example.
- Defaults: choose which signature Gmail adds to new emails and which to replies.
- Switch while writing: at the bottom of the compose window, click Insert signature (the pen icon) and pick another.
- Several addresses? If you send from more than one address, use the drop-down above the signature box to give each its own signature. No drop-down? Check that your addresses are listed under Send mail as on the Accounts and Import settings page.
Edit or remove a signature
Go to Settings → See all settings, scroll to Signature on the General tab and click the signature. Change it in the text box (click Edit to rename it), or click Delete and confirm. Either way, finish with Save Changes at the bottom.
Limits and image sizes
- 10,000 characters per signature — and images count towards that.
- Recommended image size: about 70–100 pixels high and 300–400 pixels wide. Maximum: 100 pixels high and 1,000 pixels wide.
- In the signature editor you can resize an image to Small, Medium, Large or Original size.
Signature problems and fixes
| Problem | Google’s fix |
|---|---|
| Image won’t upload or show | Delete the image and add it again, or try another method: Web Address (URL), My Drive or Upload. Clearing the browser’s cached images and files, or trying an incognito window or another browser, can also help. |
| Image from Google Drive is broken | The file must be shared as Anyone with the link → Viewer. If the image, or the Google Doc it came from, is deleted, it disappears from the signature. Work or school accounts may only allow images by URL. |
| Signature looks wrong or has odd characters | Select the signature in settings and click Remove formatting. An oversized image can also cause this. |
| Can’t format the text | In the compose window, open More options and untick Plain text mode. |
| Signature hidden behind three dots | Signatures sit below two dashes, so Gmail can trim them in a conversation. Click Show trimmed content at the bottom of the message. |
