Free Business Email: What’s Actually Free in 2026
What you can really get for free with email on your own domain — Zoho Mail’s free plan, the free trials, and free forwarding — and the catches with each.
“Free business email” usually means one of three things: a genuinely free mailbox with limits, a free trial of a paid service, or free forwarding that sends mail for your domain to an inbox you already have. Here’s what each gives you, from the providers’ own pages (checked October 2026). One cost no option removes: you still need to own the domain.
A free mailbox: Zoho Mail Forever Free
| Forever Free plan | What Zoho lists |
|---|---|
| Users | Up to 5 — from the 6th user, all users move to a paid plan |
| Storage | 5 GB of mail per user |
| Domains | One domain |
| IMAP, POP and ActiveSync | Not included — use Zoho’s web and mobile apps |
| Availability | Only in select data centers |
The missing IMAP/POP is the catch: you can’t connect Outlook, Apple Mail or Thunderbird. If that matters, Zoho’s paid plans add it. Sign-up steps: creating a Zoho Mail account.
Free trials of the paid services
- Google Workspace: 14 days.
- Microsoft 365 Business: one month. Microsoft requires a card, and the trial turns into a paid subscription automatically unless you cancel during it.
- Zoho Mail: 15 days of Mail Premium, no credit card required.
A trial is a good way to set up and test everything — but plan for the bill, because moving a domain’s email again later is work. Compare the paid options in Google Workspace vs Microsoft 365.
Free forwarding (receiving only)
If you just want hello@yourbusiness.com to arrive in your existing Gmail or Outlook inbox, a forwarding service can do it. Cloudflare Email Routing describes itself as a free service for creating custom addresses and forwarding messages to any inbox. Many domain registrars offer forwarding too.
Forwarding is not a mailbox, and replying is the hard part:
- Cloudflare’s documentation says Email Routing processes or forwards incoming mail; sending is a separate product.
- Gmail’s Send mail as feature lets you send from another address you own, but Google says that from January 2027 Gmail will stop supporting “Send as” for third-party addresses such as Yahoo or Outlook. Check Google’s page before building a setup that depends on it.
Which free option fits?
- Up to 5 people, happy with web and phone apps: Zoho Mail Forever Free.
- Testing before you commit: a free trial.
- One address that lands in your personal inbox: forwarding.
- Anything bigger: a paid plan — see business email compared.
Whatever you pick, set up SPF, DKIM and DMARC so your mail reaches inboxes — check them with the SPF, DKIM and DMARC checker, and see how to create a business email address for the full setup.
