How to Create a Business Email Address (Step by Step)
Set up email on your own domain from start to finish — domain verification, MX records for Google Workspace, Microsoft 365 and Zoho Mail, and the checks that stop mail going missing.
Whichever service you choose, creating a business email address follows the same path: domain → verify → mailboxes → MX records → SPF, DKIM and DMARC → test. Still choosing a service? Start with business email compared.
1. Get a domain — and know where its DNS lives
Buy a domain from any registrar if you don’t own one. Then find out where its DNS is managed: usually the registrar, but sometimes your web host or a service like Cloudflare. Zoho’s help puts it plainly — records added at a provider that isn’t your active nameserver host won’t take effect. Every change below goes wherever your nameservers point.
2. Sign up and verify the domain
The email service gives you a TXT record to prove you own the domain:
- Google Workspace: a value starting
google-site-verification=. Google says it can take up to 72 hours to be recognised, and warns that removing the record before verification succeeds makes it fail. - Microsoft 365: a value like
MS=ms…. After adding it, go to Settings › Domains in the admin center, select the domain and choose Verify.
Always copy the exact value from your own admin console — it’s unique to your account.
3. Create the mailboxes
Add a user for each person, plus any shared addresses. Ideas for formats: professional email address examples.
4. Point your MX records at the service
MX records tell the world where to deliver mail for your domain. Remove any old MX records first — Google and Zoho both warn that leftovers cause delivery problems.
| Service | MX value | Priority |
|---|---|---|
| Google Workspace | smtp.google.com | 1 |
| Microsoft 365 | <domain-key>.mail.protection.outlook.com — your exact value is in the admin center | 10 |
| Zoho Mail (US data center) | mx.zoho.com, mx2.zoho.com, mx3.zoho.com | 10, 20, 50 |
- Google: after the MX record, go to Account › Domains › Manage domains in the Admin console and click Activate Gmail. Older accounts with MX records starting
aspmxdon’t need to change if mail is working. - Zoho: the domain ending varies by data center — use the values in your Admin Console. If your DNS host doesn’t take priorities,
mx.zohomust have the lowest value. - Microsoft: also add the
autodiscoverCNAME pointing toautodiscover.outlook.com, so Outlook can find the settings itself.
Changes can take time: Google says up to 72 hours; Zoho notes a long TTL can delay things by 12 to 24 hours.
5. Add SPF, DKIM and DMARC
These DNS records prove your mail is really from you. A domain must have only one SPF record — if one exists, merge the new value into it. Build records with the SPF generator and DMARC generator, and follow Google Workspace or Microsoft 365 setup.
6. Test it
- Confirm the records with the MX record lookup and the authentication checker.
- Send a test email from an outside account, as Zoho recommends, and reply to it.
- Add the account to phones and computers: iPhone, Android.
