Professional Email Address Examples and Naming Formats
Professional email address formats for people and teams, the standard role addresses every domain should have, and naming mistakes to avoid.
A professional email address is easy to say, easy to type and obviously yours. Once you have your own domain (see business email compared), these are the formats that work — and the role addresses the internet’s own standards expect.
Formats for people
| Format | Example | Good for |
|---|---|---|
| First name | sara@yourbusiness.com | Small teams, freelancers |
| First.last | sara.khan@yourbusiness.com | Growing teams — avoids clashes |
| Initial + last | skhan@yourbusiness.com | Shorter, still unique |
| First + initial | sarak@yourbusiness.com | When first names repeat |
Pick one format and use it for everyone, so people can guess a colleague’s address. If you expect to grow, start with first.last — it rarely clashes.
Role addresses
RFC 2142, the internet standard for common mailbox names, lists addresses for business roles and for internet services:
| Address | What it’s for |
|---|---|
info@ | General information about the organisation, products or services |
sales@ | Product purchase information |
support@ | Problems with a product or service |
marketing@ | Marketing communications |
abuse@ | Reports of inappropriate behaviour, such as spam from your network |
security@ | Security bulletins or queries |
postmaster@ | Mail (SMTP) problems |
hostmaster@ | DNS problems |
webmaster@ | Website (HTTP) problems |
- You don’t need all of them. RFC 2142 says that if you offer a service, its mailbox name must be supported — and it calls out
postmaster@as required on any host that runs an SMTP server. - Mailbox names must work regardless of capital letters:
POSTMASTER,postmasterandPoStMaStErall reach the same place. - Role addresses don’t need their own paid mailbox in most services — set them up as aliases or shared groups that land with the right people.
An address for DMARC reports
When you publish a DMARC record, you choose an address for the reports. A dedicated one such as dmarc@ keeps them out of personal inboxes. Build the record with the DMARC record generator, and read the reports with the DMARC report analyzer.
Mistakes to avoid
- Numbers and hyphens that are hard to say out loud (
sara-k2@). - Nicknames or jokes you’ll outgrow.
- A free address for business —
yourbusiness@gmail.comlooks less established than your own domain, and you can’t take it with you if you change provider. - Personal names on shared jobs — use
support@, not one employee’s address, so nothing is lost when people leave.
